Retrac is built for teams. Everyone on a workspace shares the same item catalog, but you control who can join and what they can do.
Manage your team under Settings → Members.
Roles
| Role | Capabilities |
|---|
| Owner | Full access: settings, billing, invites, API keys, security, revert transfers, delete workspace |
| Member | Day-to-day inventory work; cannot manage billing or workspace deletion |
All plans support owner and member roles. You need at least one owner per workspace.
Invite by email
- Go to Settings → Members.
- Click Invite member.
- Enter email address(es).
- Choose Owner or Member.
- Optionally configure Location access (see below).
- Send the invite.
Invitees receive an email with a link to join. Pending invites appear in the members table with status Invited.
Invite link
For faster onboarding, generate a reusable invite link from the Members page. Anyone with the link can join the workspace (subject to your plan’s user limit). Revoke or rotate links from the same screen when needed.
Accepting an invite
Recipients click the email link or visit the invite URL while signed in (or create an account first). They are added to the workspace with the role and location access defined in the invite.
Location access
Restrict members to specific locations when they should not see the whole business — e.g. a store manager who only manages floor stock.
For each location, set permission to:
| Permission | Effect |
|---|
| None | Cannot see or edit stock at this location |
| View | Can see inventory and transfers involving this location |
| Edit | Can adjust stock and create transfers at this location |
Leave all locations on Edit for full workspace access (typical for trusted ops staff).
Owners always have unrestricted access regardless of location assignments.
To update a member’s locations after they join, use the member row menu → edit location access.
Remove a member
Owners can remove active members or cancel pending invites from the Members table menu. Removed users lose access immediately but their account remains — they can still access other workspaces they belong to.
User limits
Each plan allows a maximum number of users per workspace (including pending invites). Upgrade under Settings → Billing if you need more seats.
Account vs workspace settings
- Workspace members — who can access this inventory (Settings → Members)
- Your personal account — email, password, and security across all workspaces (Account settings)
