Stock in Retrac is always tracked per item, per location. Catalog fields (SKU, description, cost) live on the item; quantities live in inventory balances that update through adjustments and transfers.

Opening stock

When you create a new item, you can enter an Opening quantity in the add-item modal. Retrac records this as an opening movement at the location selected in the inventory header. If you skip opening quantity, the item starts at zero at every location until you adjust stock.

Adjust stock

Use adjustments when physical counts change — after a stocktake, receiving goods, or correcting a mistake.
  1. On Inventory, open the item’s menu.
  2. Choose Adjust stock.
  3. Select the location.
  4. Enter the new on-hand quantity (not a delta — the total count you want at that location).
  5. Optionally add a note (e.g. “Annual stocktake”).
  6. Save.
Retrac writes an adjustment movement to the ledger and updates the balance immediately.
Adjust stock when you know the absolute count. Use Transfers when stock moves from one location to another — that keeps the audit trail accurate.

View stock across locations

From the item menu, choose Locations to see on-hand quantity at every location in one view. This is helpful when deciding where to transfer from or when reconciling totals.

Location-scoped access

If you are a member with restricted location access, you only see and edit stock at locations assigned to you. Owners always have full access. See Team & members.

Common scenarios

New product arrives at the warehouse

  1. Create the item (or confirm it already exists).
  2. Select the warehouse in the location dropdown.
  3. Adjust stock to the received quantity, with a note like “PO #1234 receipt”.

Stocktake found a discrepancy

  1. Select the location you counted.
  2. For each item, Adjust stock to the counted on-hand quantity.

Moving stock to another site

Do not only adjust both locations manually — use a Transfer so the ledger shows the movement between sites. See Transfers.
